Officer Duties

Successful organizations, including Sigma Gamma Fraternity, are run by a management team comprised of officers, elected/appointed to their roles. In Gamma, the active fraternity elects its leaders through a unique election process. Brothers interested in a given position are nominated and a week later, the fraternity meets to discuss the merits of each brother’s good/bad points. Brothers leave the room while their nomination is discussed by the rest of the fraternity.  After a discussion, the brothers settle on the most preferable choice.  Through this process, the fraternity typically elects the most suitable candidates for each office. Through our various officer positions, there are many opportunities for brothers to display and develop their leadership and management skills. Furthermore, a new slate of officers is elected every semester. There are many opportunities for brothers to expand and diversify their portfolio of management skills.

President

The fraternity is led by the President, who functions as the QB or captain of Sigma Gamma. The President’s responsibilities are purposefully wide-ranging. As the leader, he is the primary face of the organization. He is the officer who primarily interacts with the college administration and handles all recognition related responsibilities. In so doing, the president will meet with the Student Involvement Coordinator to review the fraternity's objectives for the upcoming semester and map out an action plan that is consistent with the Standards of Excellence Program that all recognized organizations must comply with. In keeping with recognition requirements, the President will endeavor to make sure that all individual members of the fraternity are enrolled in the Laker Life program required for all brothers recognized by the college. Ultimately, the President will be responsible for making sure that the fraternity completes and submits in a timely and proper fashion the Standards of Excellence package.

Sigma Gamma’s President is responsible for running and planning all meetings of the fraternity which typically happen on Sunday evenings. He follows Robert’s Rules of Order protocol. He will establish a Jury Board as needed and make sure that fraternity’s Executive Board meets prior to the Sunday night meetings. He will set the agenda for the Welcome Back meeting and all subsequent meetings. The President will also make sure that all individual offices of the fraternity understand their roles and responsibilities and have the necessary tools to thrive in their respective positions. The President makes sure that the fraternity’s advisor is aware of all meetings and arranges logistical assistance if needed in order for such advisors to participate.

The President is responsible for ensuring that risk management and risk mitigation related concerns are identified and addressed.  As part of these responsibilities, he will make a Risk Management focused presentation to all brothers in the beginning of the semester, and will continue providing related updates and educational opportunities relating to such as the semester progresses.  Sigma Gamma's President will also make sure that the fraternity insurance liability coverage remains in effect and is paid for in a prompt manner. He will also provide proof of insurance coverage to the college as required under recognition stipulations. Gamma’s President will also make sure that he sits with the treasurer of the fraternity to review and plan financial matters for the semester, including the establishment of a budget. Together with the Treasurer, the President reviews the dues level expected for all active members of the fraternity.

The President makes sure that a “Master Contact List” is maintained and updated every semester. There is an established format for this list, and complying with this format requires the President to confirm certain information about each brother. (The President may delegate this task but, ultimately, he is responsible for ensuring that it is completed and a copy of such is electronically provided to the fraternity’s Alumni Board). An additional responsibility of the fraternity's President is to coordinate the composite pictures that are taken every year. 

The President will also be the primary liaison to the Sigma Gamma alumni board and make himself available for planned conference calls and meetings that the alumni board may initiate. Furthermore, the President will make sure that other members of the Executive Board are made aware of and participate in planned alumni board conference calls. In summary, as noted, the President functions as the QB of the organization and his role is to make sure that everybody is doing what they're supposed to be doing including all elected officers and active fraternity members.

Vice President

Sigma Gamma Vice President position is also a very important role. The exact duties and responsibilities of the vice president are somewhat dependent upon the rapport and chemistry that develops between the president and the vice president. Ideally the president will delegate certain tasks to the vice president so that together the two positions can maximize productivity. There are numerous interactions the Vice President will have with the Student Involvement Coordinator, as well as other college and community officials. He will work closely with the Community Relations officer to plan and execute certain Community Service initiatives and make sure that each individual brother meets their respective community service requirements. The Vice President is also responsible for conducting a thorough review of the fraternity’s web site and advising site administrators of any needed or suggested updates.

New Member Education Coordinator ("NMEC") (formerly called the Pledge Master)

The New Member Education Coordinator, or what we used to call the Pledge Master, or PM position is also an extremely important and highly visible role in the fraternity. His duties are many, including planning and executing all facets of the Sigma Gamma new member education program. The NMEC is responsible for knowing and adhering to all facets of the anti-hazing and code of conduct regulation stipulated by the college. The NMEC must also make sure that all active brothers are aware of all related stipulations and requirements and comply with aforementioned codes of conduct. The NMEC plans and executes all facets of the program. To assist him in managing the program, the NMEC will select a committee or PC, comprised of 4 to 6 members of the fraternity. The NMEC delegates certain responsibilities to the committee as the program is being executed. 

Between them, the NMEC and  his committee are responsible for making sure that certain traditional knights are executed in accordance with code of conduct expectations. They are also responsible for making sure that certain traditions are maintained, including each class making Sigma Gamma traditional paddles and books and the contents therein. The NMEC is responsible for the health well-being and whereabouts of all potential new members. The NMEC is responsible for making sure that all potential new members continue to meet the academic requirements one must meet in order to become and remain a new member in good standing. The NMEC will oversee the issuance of bids and work hand-in-hand with Rush Chairman to plan and execute certain rush or recruitment events. The NMEC will also oversee the process of assigning big brothers to each potential new member.

Treasurer

The Treasurer has very important responsibilities in the fraternity. After consulting with the President to plan a preliminary budget, he then sets the dues amounts each brother must pay each semester. Included in this executive review session is a verification that all dues have been collected from the previous semester. If not, an immediate accounting is made and past due monies are collected asap. The Treasurer then collects active semester dues and maintains safeguards for all monies collected. He works closely with other officers of the fraternity to supply funds as needed for pledging, social and home improvement related initiatives. The Treasurer is expected to give regular financial reports to the active fraternity so that all members are aware of whether fraternity stands for from a financial perspective. The Treasurer also make sure that all payments for insurance liability are made on a timely fashion.

Social Chairman

The Social Chairman is another very important role in the fraternity. Generally speaking, he plans, schedules and executes all social events of the fraternity including “brother – only” events, as well as mixers with other organizations and certain social events the fraternity is involved in on-campus and in the community. The Social Chairman will also plan the spring formal. For fraternity events, the Social Chairman is responsible for providing music, planning, logistics as well as ensuring that protocols have been established to maintain order and security at fraternity events. The Social Chairman also gives out certain weekly acknowledgments at Sunday Night meetings.

House President

The House President is typically focused on maintaining and improving the fraternity house. He works hand-in-hand with the NMEC and his committee to make sure that any planned home improvement projects benefits the house. The House President makes sure that brothers are motivated and organized to clean the house before certain events. The House President is responsible for conducting thorough examinations of the fraternity house and advising the Executive Board of any safety and/or liability concerns, as well as developing a plan for mitigation actions, and as if required. In the case of rental properties, the House President will be responsible for interacting with the landlord and making sure that infrastructure systems supporting the House are in good working order at all times. The House President is typically elected to this position because he has shown initiative, or has certain skills that will benefit the fraternity house.

Academic Coordinator 

Gamma’s Academic Coordinator is focused on making sure that the fraternity’s members maintain academic excellence and eligibility, pursuant to college requirements. He is particularly focused on new members and making sure that they develop good academic scholarship habits from the beginning of their time as an active brother.  

Secretary 

The Secretary is responsible for documenting fraternity meetings and events, as well as handling certain official correspondence and communications received by the fraternity. He will often be asked by the President to follow up on certain delegated matters.

IFC Representative

This officer represents Sigma Gamma at the Intra-Fraternity Council. He brings up issues and concerns of the fraternity and reports back at Sunday meetings and at other intervals developments within the IFC. The IFC rep may also be involved in planning and executing certain social events that involve interaction with other member organizations of the IFC.

Alumni Rep

The Alumni Rep is responsible for communicating various and regular updates to the fraternity’s alumni base, including the Alumni Board. He will document certain events the fraternity is involved in and summarize for the alumni. He will also provide guidance to the alumni base and the Alumni Board for initiatives for which the fraternity is seeking alumni support. The failure of the officer in this position to perform his duties well can have a major negative impact on the fraternity, so the person in this role must be highly responsive and motivated.

Rush Chairs

These individuals will work closely with the NMEC to plan and execute certain rush or recruitment events. They make sure that Sigma Gamma is properly geared up for New Student Orientation Week and ensure that the fraternity is well represented at the Greek Fair. The Rush Chairs will make sure that anyone interested in joining can meet academic and other eligibility requirements and verify certain other details as well. They will generally promote the fraternity and position it in it’s most optimal light. Rush Chairs will design and print up special rush shirts that the fraternity will wear during recruitment season. They will also be responsive to expressions of interest that the fraternity may receive through various channels, including social media and the fraternity’s web site.

Chaplain 

Every organization needs levity! Sigma Gamma prides itself in being able to step back and make observations about the organization and individual members and events. He is certainly someone with a sense of humor and a gift for words and delivery.  

Community Relations

This officer plans, executes and promotes Sigma Gamma’s involvement in the various Community Service initiatives we undertake. He is coordinates certain community services details to and with other organizations when there are certain joint organization activities planned. The Community Relations Officer will also take an active role in social media and post certain updates to the fraternity’s web site.

Greek Council 

Much like the IFC rep, the Greek Council rep will represent Gamma at various Greek council meetings and events.

Philanthropy 

This officer will plan and execute philanthropic initiatives the fraternity is involved with or sponsors. The President will regularly encourage the Philanthropy Chair to keep coming to the fraternity with potential ideas to be taken up for further consideration.
